Information We Collect
Relynk is a CRM application built for Multi System Operator (MSO) admins. To provide our services, we collect several categories of information.
Account & Identity Information
When you register for a Relynk account or are added as a team member by an MSO admin, we collect:
- Full name
- Email address
- Mobile phone number
- Password (stored in encrypted/hashed form via Firebase Authentication)
- Role (Admin or Employee)
Customer & Network Data
As an MSO admin, you enter and manage data about your network and end-customers. This includes:
- Customer names, phone numbers (mobile and landline), and addresses
- VLAN assignments, OLT names, and optical signal ranges
- ISP association for each customer
- GPS coordinates (latitude and longitude) captured via your device's location service at the time of customer onboarding
- Customer status (active or inactive)
- Data imported via Excel bulk upload
Device & Usage Information
We may automatically collect certain technical data when you use the Relynk app, including:
- Device type, operating system version, and app version
- IP address and general location (country/region)
- Crash reports and error logs (via Firebase Crashlytics, if enabled)
- App usage analytics (via Firebase Analytics, if enabled)
Important: GPS location data is only captured when you explicitly tap the "Get Location" button within the app. We do not track your device location in the background at any time except employees if needed.

How We Use Your Information
We use the information we collect solely to provide, maintain, and improve the Relynk service. Specifically:
- Account creation and authentication — to verify your identity and provide secure access to the app.
- Service delivery — to store and display your OLT, VLAN, and customer data within the app.
- Team management — to allow MSO admins to create employee accounts and control access permissions.
- Customer record management — to enable searching, editing, bulk importing, and GPS tagging of customer records.
- Support and communication — to respond to your support requests, onboarding queries, or billing questions via email or WhatsApp.
- App improvement — to understand usage patterns and fix bugs using aggregated, anonymised analytics data.
- Legal compliance — to comply with applicable laws and regulations in India.
We do not use your data for advertising, sell it to third parties, or use it to build profiles for external marketing purposes.

Firebase & Third-Party Services
Relynk is built on Google Firebase, a platform provided by Google LLC. The following Firebase services are used:
Firebase Authentication
Used to manage user login, registration, and session management. Your email address and password (hashed) are processed and stored by Firebase Authentication. Google's privacy policy governs this data: policies.google.com/privacy.
Firebase Firestore / Realtime Database
Used as the primary database to store your MSO data — including OLT records, customer records, VLAN assignments, and team user accounts. Data is stored on Google's servers, which may be located outside India.
Firebase Storage
May be used to store uploaded files such as Excel imports or any attachments associated with customer records.
Firebase Analytics & Crashlytics (if enabled)
Used to collect anonymised usage statistics and crash reports to help us improve app stability and performance. No personally identifiable customer data is transmitted via these services.
By using Relynk, you acknowledge that data is processed by Google Firebase as a sub-processor. Firebase's data processing terms are available at firebase.google.com/terms.

Data Storage & Security
Your data is stored on Google Firebase infrastructure, which implements industry-standard security measures including encryption at rest and in transit (TLS/SSL).
We implement the following practices on our end:
- Passwords are never stored in plaintext — Firebase Authentication handles secure hashing.
- Access to data is controlled through Firebase Security Rules, ensuring that users can only access data belonging to their MSO account.
- Role-based access within the app limits employee users from viewing or editing data beyond their permissions.
While we take reasonable steps to protect your data, no method of electronic storage or transmission over the internet is 100% secure. We encourage you to use strong, unique passwords and to keep your login credentials confidential.

Data Sharing & Disclosure
We do not sell, rent, or trade your personal information. We may share your information only in the following limited circumstances:
- Google Firebase (Sub-processor): As described above, Firebase processes data on our behalf to provide infrastructure services.
- Legal requirements: If required by applicable Indian law, court order, or governmental authority, we may disclose information as legally obligated.
- Business transfers: In the event of a merger, acquisition, or sale of Relynk's business, user data may be transferred as part of that transaction. We will notify you via email before such a transfer occurs and this Privacy Policy becomes subject to a different policy.
- With your consent: We may share data in any other circumstances where you have given explicit consent.
We do not share your customer records, OLT data, or any business data with any third party for commercial or marketing purposes.

Your Rights & Choices
You have the following rights with respect to your personal data:
- Access: You may request a copy of the personal data we hold about you.
- Correction: You may update your account information at any time within the app.
- Deletion: You may request deletion of your account and associated data by contacting us. We will process deletion requests within 30 days, subject to any legal retention obligations.
- Data portability: 1-Year plan subscribers have access to a data backup and export feature. All plan users may contact us to request an export of their data.
- Opt-out of analytics: If you wish to opt out of Firebase Analytics data collection, please contact us and we will provide guidance.

Data Retention
We retain your data for as long as your account is active or as needed to provide the Relynk service. Specifically:
- Account data (name, email, phone) is retained while your account is active.
- Customer and network data you enter is retained as long as your account exists.
- Upon account deletion, we will delete or anonymise your data within 30 days, except where we are required to retain it for legal or regulatory purposes.
- Backup copies may persist in Firebase infrastructure for up to 90 days before complete deletion.

Children's Privacy
Relynk is a professional business application intended solely for use by adults operating MSO networks. We do not knowingly collect personal information from individuals under the age of 18. If you believe a minor has provided us with personal information, please contact us immediately and we will take steps to delete that information.

Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by:
- Sending an email to the address associated with your account, and/or
- Displaying a prominent notice within the Relynk app
The updated policy will be posted at relynk.in/privacy-policy with a revised "Last Updated" date. Your continued use of Relynk after any changes constitutes acceptance of the updated policy.
